Job Summary:

The Admin Associate will be responsible for ensuring smooth operations of office space, facility management, and the management of office equipment, including laptops. The ideal candidate will play a critical role in maintaining an efficient, safe, and well-organised work environment while supporting the team with any administrative needs.


Responsibilities:

1. Administrative Support:

   - Assist in organising company events, meetings, and other activities that require logistical planning.

   - Provide general administrative support, including handling incoming calls, mail, and managing the office reception as needed.

   - Collaborate with cross-functional teams to address any operational challenges.


2. Vendor & Service Provider Coordination:

   - Manage relationships with external vendors (e.g., office supplies, catering, maintenance) and negotiate contracts to ensure cost-effectiveness.

   - Ensure timely payment processing for facility-related services and maintain an updated database of vendor contracts.


3. Office Space & Facility Management:

   - Oversee the day-to-day operations of office facilities, organisation, and optimal functionality.

   - Manage seating arrangements and workspace allocations, coordinating with HR and department heads for any changes.

   

4. Laptops & Equipment Management:

   - Maintain and manage office equipment inventory, specifically laptops and related IT hardware.

   - Track the issuance and return of laptops to employees and ensure their proper configuration, security, and functionality.

   - Work closely with the IT team to schedule maintenance, updates, and repairs of office equipment.

   - Ensure adherence to company policy for laptop security, including regular audits of issued devices.


5. Health & Safety:

   - Ensure office premises adhere to safety regulations and company policies.

   - Regularly conduct health and safety checks, fire drills, and manage first aid kits and emergency supplies.


 Qualifications:

- Bachelor’s degree in Business Administration, Facility Management, or a related field.

- 1-3 years of experience in office administration, facility management, or similar roles.

- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and facility management software.

- Strong organisational and multitasking skills with attention to detail.

- Excellent communication and vendor management abilities.

- Ability to handle confidential information with integrity.


Preferred Skills:

- Experience in managing office IT assets.

- Basic knowledge of health and safety regulations.

- Strong problem-solving abilities and a proactive approach to operational challenges.
